The Role: 
Goulds Water Technology, a Xylem brand, seeks to hire an Order Management Specialist to support the Grainger business. The Order Management Specialist will interface with customers to handle inquiries on product availability and quotes, coordinate order management with internal departments and provide general assistance to the Sales organization as is needed to promote the Goulds and Bell & Gosset business. This role will be based out of the Seneca Falls, NY office. 

An Order Management Specialist possesses the ability to build collaborative relationships with customers, team members and other departments to consistently meet customer needs and concerns. The Order Management Specialist establishes good interpersonal relationships to further effective communication with other departments and deliver results quickly and satisfactorily. Essential Duties/Principal Responsibilities:

  • Handle requests for quotes, customer orders, and order updates on Aftermarket Parts, including adjustments.
  • Communicate directly with customers, sales force, applications engineers, etc. on issues related to order status.
  • Conduct research using job files, company engineers and technical specialists, and vendors. Interface, coordinate and monitor the progress of customer orders from acceptance to job closing to ensure customer requirements are met and proper order flow is maintained.
  • Liaison to customer for shipping and tracking orders.
  • Work closely with Shared Services to resolve, update and monitor credit issues.
  • Assume other activities and responsibilities from time to time as directed by Xylem Auburn or Xylem Morton Grove business
  • Receives order input and ascertains product specification, clarifies customer order language condensing where possible.
  • Edits customer orders and assigns codes for statistical tabulation and commodity identification.
    Assigns method of shipment, tag information and product pricing.
  • Communicates with customers through verbal, written and personal contact concerning delivery issues and complaints such as material shortages, incorrect shipments, lost material, incorrect pricing and product availability.
  • Interfaces with necessary departments to effect solutions.
  • Understand the catalog and products so proper actions can be taken to meet customer requirements
  • Generates inter-departmental inquiries regarding availability of delinquent product and requests to expedite.

  • Develops training documentation and facilitates training sessions across multiple functional groups related to applications/tools for order entry.
  • Perform daily, weekly and monthly ERP review and maintenance functions to insure all ERP information is accurate.
  • Participate in special projects to create best practices, improve processes, create training tools or to support Xylem initiatives as determined.
  • Assume other activities and responsibilities from time to time as directed by Xylem Auburn or Xylem Morton Grove business.
  • Participation in Xylem Watermark volunteer activities

Minimum Qualifications: Education, Experience, Skills, Abilities, License/Certification:

  • 3 years relevant experience in Customer Service, Order Management, Sales, Material Handling / Inventory Control or related functions, or equivalent experience.
  • Experience with MS Word, Excel and Outlook required.
  • Proficiency in math to calculate discounts, profits, shipping weights, etc.
  • Strong Customer and Order flow knowledge
  • Knowledge of import/export rules and procedures
  • Good communication and organizational skills
  • Able to work independently

Preferred Qualifications:

  • Familiarity with International Shipping
